Job Overview

The Administrative Assistant is the first point of interaction for employees, visitors, and clients via phone, email and in person at the SNDL Toronto office, and key contact for all employees internally. This role answers and directs internal and external general inquiries, facilitates visitors to the building, coordinates office supply orders and inventory, and performs administrative tasks to support multiple departments as requested.

Scope of Role

· Maintain a high level of customer service for both internal and external customers; addressing general inquiries, greeting and assisting all visitors/clients via phone, email or in person, collaborating with security to ensure standard operating procedures are adhered to

· Promptly address incoming telephone calls and general email/in person inquiries, taking messages and/or directing to the appropriate individuals.

· Inventory Management for all office supplies and resources (stationary, office furniture, equipment, consumables)

· Handle incoming and outgoing mail: sort and distribute incoming mail; prepare outgoing mail for pick-up or courier, including the waybill management

· Supporting a portion of new employee onboarding, in collaboration with key internal stakeholders

· Providing a variety of administrative support to multiple departments, as needed. Includes, but not limited to compiling expense reports, accounts payable duties, meeting coordination & set up, booking travel arrangements, etc.

· Contribute to a positive team atmosphere, assisting with various tasks as required

· Liaise with building management/vendors

· Support other Administrative Assistants across various locations (YYC, YEG, YLW) when required

· Assist with office/staff events/functions

Knowledge and Experience

· High school diploma or an equivalent

· 1-2 years of experience in an administrative, customer service, office assistant role or in a related capacity

· 1-2 years of customer service experience

Required Competencies

· Possess excellent communication and multitasking skills, a positive and proactive attitude and a strong work ethic.

· Computer proficiency with Microsoft Office Suite (MS Word, Excel and PowerPoint)

· Demonstrated ability to exercise good judgment

· Excellent interpersonal, verbal and written communication skills, with a strong attention to detail

· Ability to successfully complete a Criminal Record Check

· All successful candidates are required to pass background checks
