As a member of the administrative team, you will work closely with the Project Management team and administrative group in a support role to ensure that administrative aspects are performed accurately and in a timely manner. This is an office-based role within our Bedford, NS location.
Responsibilities
  • Front desk reception and maintenance of boardrooms and kitchen.
  • Answer incoming calls and directing phone calls and messages.
  • Keep phone list up to date and distribute as required.
  • Open and distribute mail; send out mail and couriers on a timely basis.
  • Track outgoing couriers for costing
  • Monitor and be main point of contact for security system, copiers and office cleaners.
  • Manage and order office supplies including copier supplies.
  • Support the Estimating team:
    • Order drawings and tender packages
    • Manage sub list
    • Make phone calls to sub-contractors
  • Establish and maintain a project contact list.
  • Project start up documents and document control.
  • Manage SharePoint/Procor sites, upload and download, print drawings from sites.
  • Support security clearance process for various organizations.
  • Creating and filling job files – electronics and hard copies.
  • Project close out, create and issue O&M manuals in a timely manner.
What We Are Looking For
  • Successful candidates should have an office administration diploma or equivalent.
  • You are a motivated and confident individual with excellent verbal and written communication skills.
  • Excellent proficiency in MS Office is required as well as familiarity with Sharepoint.
  • Knowledge of other software applications such as ViewPoint would be an asset.
  • Your organization and time-management skills allow you to multi-task and meet deadlines.
  • You can work well with others in a team environment and contribute to the administrative team in an efficient, effective and positive manner.
