Join the City of Edmonton’s Legal Services team as a Branch Administrative Assistant! Working in a fast-paced office, you will use your in-depth administrative expertise to effectively support the Branch Manager’s Office. Key priorities include actioning high-priority requests which require agility, discretion and significant attention to detail.

With a focus on the City of Edmonton’s Cultural Commitments, you will:

  • Act as the main administrative point of contact to ensure all inquiries and Council reports are reviewed and approved in a timely manner
  • Anticipate executive-level administrative needs and provide timely solutions
  • Proactively manage the Branch Manager/City Solicitor’s calendar and related briefing materials
  • Draft and edit documents to support day-to-day operations, including agendas, reports, memos, letters and other correspondence
  • Engage the Legal, Insurance and Claims, and Corporate Security sections on a wide variety of requests
  • Coordinate requests for information under the Freedom of Information and Protection of Privacy (FOIP) Act
  • Understand and recognize politically sensitive and/or confidential issues
  • Undertake projects and special assignments assigned by the Branch Manager/City Solicitor or the Branch Leadership Team


Qualifications
:
  • Completion of Grade 12, including business subjects, or completion of an appropriate certificate program from an approved post-secondary institution
  • Additional related education and training is strongly preferred (e.g., Legal Assistant or Paralegal diploma)
  • Minimum of four years of progressively responsible and diverse administrative experience
  • Exemplary calendar management and interpersonal skills
  • Ability to independently assign and coordinate requests
  • Proven ability to summarize reports or other material and compose effective correspondence
  • Ability to adapt to changing priorities
  • Advanced computer skills, including the ability to use a variety of office software; proficiency with the Google suite of applications is an asset
  • Ability to work independently within established policies and procedures
  • Ability to manage confidential information on a routine basis with a high degree of judgement and discretion
  • Demonstrated ability to achieve results in the context of a respectful, inclusive and service-minded style

Hours of Work: 33.75 hours, Monday to Friday

The weekly hours of work for this position are currently under review and may change at a future time. This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite.

Salary: $29.385 to $36.808 hourly ($51,769 to $64,846 annually)
