This position reports to the Ingram School of Nursing’s (ISoN) Administrative Officer, however, directly supports the School’s Associate Director of Education. The incumbent will be responsible for the following tasks:
  • Perform and organize activities to support the daily operations of the unit by ensuring that administrative services are carried out in accordance with established goals and objectives.
  • Implement administrative procedures or systems that are moderately complex in support of the faculty, department or unit’s operations and ensure activities meet or exceed established quality requirements.
  • Assist with the preparation of operating and capital budgets and research grant applications.
  • Plan meetings, conferences and luncheons. Record and distribute minutes.
  • Compile statistics and data for inclusion in reports. Update documents and reports, either in print or on the website.
  • Provide support for student affairs and academic administrative activities.
  • Establish and foster effective working relationships by identifying needs and providing support in the delivery of services.
  • Assess and resolve administrative problems. When appropriate, inform supervisor and formulate recommendations.
  • Attend meetings.

Other Qualifying Skills and/or Abilities
  • Demonstrated experience in managing an office.
  • Demonstrated ability to prioritize, multi‐task and meet strict deadlines.
  • Customer focused with a proven ability to communicate clearly and effectively with a varied clientele in a client‐centered environment, maintaining a professional tone and manner in both verbal and written communication.
  • Proven ability to draft correspondence and other texts as well as proofread and edit documents using appropriate spelling, grammar and punctuation.
  • Demonstrated ability to provide support for various administrative activities, including producing reports. Meticulous in documenting follow‐up actions regarding ongoing files. Experience overseeing and managing projects.
  • Demonstrated superior English and French written and oral communications skills.
  • At ease in a PC environment using MS Word, Excel, PowerPoint, Adobe Acrobat, Outlook, Banner (SIS) and Minerva.
