Job Summary

An integral part of the University since its inception in 1963, the Division of Continuing Studies (DCS) provides high quality, dynamic learning opportunities to support personal and professional growth of local, national, and international learners.

DCS works closely with faculties, industry experts, and community partners to design and deliver a comprehensive portfolio of non-credit and credit courses and programs using certificate, diploma, or other programming models. Courses are delivered in-person, online or using blended approaches. Some courses are delivered off-campus in community settings to serve the needs of Indigenous learners and a growing senior community on Vancouver Island. Through our dedication to academic and service excellence, we offer a transformative experience to each lifelong learner.

As part of the larger Division of Continuing Studies, the Finance and Student Services (FSS) unit places students at the centre of its operations in the provision of the core institutional services and systems. The services offered by FSS includes English Language Centre, Pathways Program and the Division of Continuing Studies registration services. The FSS collaborates closely with all program units within the Division as well as external stakeholders to provide outstanding service and support to students, parents, the Division and staff.

Reporting to the Supervisor, Student Services Admissions, the Student Services Admissions Assistant (SSAA) is self directed while managing and evaluating a high volume of international and domestical applications that must be assessed quickly and accurately to support the Division of Continuing Studies’ enrollment goals.

This position responds to a broad range of queries from agents, students, parents and staff, including in-person, telephone and email communications. This position is also responsible for assisting in the admissions process for the Certificate in Business Administration, Diploma in Business Administration and the various English Language centre programs.

Job Requirements

Experience:

3 years practical experience working in a professional office environment

  • Proficiency in using a software suite such as Microsoft Office (Word, Excel, PowerPoint);
  • Working with large databases


Preference will be given to applicants with:

  • Knowledge of University and the Division of Continuing Studies;
  • Proficiency in the use of the Student Registration System (OASIS), FAST, and Banner would be considered an asset;
  • Working in an international educational environment, providing international student support;
  • Experience working in a large institution, working with policies and procedures


An equivalent combination of education, training and experience.



Knowledge/Skills/Abilities:

  • Excellent customer service skills, including the ability to defuse tense or unpleasant situations by skillful communication and interaction.
  • A genuine interest in the student experience
  • Takes responsibility for the quality and timeliness of work and achieves results with little oversight.
  • Strong problem-solving skills with the ability to determine when a problem needs to be taken to a higher authority
  • Ability to work in a team environment or individually, with limited supervision
  • Ability to defuse tense or unpleasant situations by skillful communication and interaction
  • Demonstrates ability to be socially and culturally responsive
  • Demonstrated intermediate level of technical proficience in working with computer systems, programs and data files such as Sharepoint and Adobe Pro


Specialized Knowledge/Education:

  • Knowledge training or relevant post-secondary coursework or certification relating to office administration process and procedures
