Your opportunity:

Under the general direction of the Undergraduate Program Manager, the Information Services Assistant is responsible for providing front-line and clerical support to the Undergraduate Office. This includes providing information to students on academic regulations and guidelines, responding to general inquiries of current and prospective students, professors and visitors to the Department by phone, e-mail and in person, preparing documents and data using ROSI, course and teaching assistant (TA) databases; processing all TA payments, assisting with other HRIS payments. The incumbent is also responsible for ECE undergraduate events and special projects (e.g. TA on-line application, database, and training sessions).

Your responsibilities will include:


  • Acting as the first point of contact for general enquiries
  • Resolving issues within the scope of the role and escalating problems as required
  • Collating and organizing materials
  • Generating reports
  • Coordinating course schedules
  • Determining logistical details and activities for events and / or programming


Essential Qualifications:


  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience
  • Minimum three years of relevant experience, preferably in a university or college environment
  • Experience in applying complex policies
  • Experience interacting with and advising students in a front-line position
  • Knowledge of the University’s ROSI system or equivalent experience
  • Computer literate with sound working knowledge of MS Office, database applications, Content Management Systems
  • Ability to apply complex policies and procedures, take initiative, maintain discretion and confidentiality, and ability to work both independently and in a team environment
  • Excellent listening, verbal and written communication skills
  • Must be able to work under pressure and handle stressful situations
