The Role

This role is responsible for providing support to the Senior Manager - Code of Conduct and the Chief Compliance Officer (CCO) on the management of the Code of Business Conduct (the Code). The incumbent will be knowledgeable in all aspects of the Code, including obligations and responsibilities of all MCAP employees. The Analyst will be responsible for the tracking of ‘disclosed activities’, gift declarations, and conflicts of interest, and related documents and processes. The analyst will provide support for the management of follow-up training sessions and gathering information to support the CCO in decision-making with respect to the Code.

In addition to the responsibilities of supporting the daily management of the Code, the Analyst will support and execute on initiatives to increase awareness and provide additional training to employees on the Code. The role will also work on activities that identify and/or mitigate conflict of interest situations based on disclosures made under the Code.

Support the management of MCAP’s Code of Business Conduct (the Code)

  • Be thoroughly knowledgeable on all aspects of MCAP’s Code of Business Conduct.
  • Gather, record, and analyze required disclosures and gift declarations made by employees pursuant to the Code.
  • Receive, in confidence, notices from employees
  • Receive from employees and Senior Individuals, in confidence, annual and ad hoc disclosures of “Disclosed Activities” as defined in, and required under, the Code.
  • Receive from employees and Senior Individuals, in confidence, gift declarations as defined in, and required under, the Code.
  • Organize training and support the Senior Manager – Code of Conduct and the Chief Compliance Officer in responding to questions regarding the Code and its management.
  • Act as back up to the Senior Manager – Code of Conduct, where required and applicable to ensure service level standards are met for the CCO Office.

Document and Communicate Processes and Procedures performed by the CCO Office

  • Be thoroughly knowledgeable about all processes and procedures related to the administration and management of MCAP’s Code of Business Conduct, including but not limited to, handling inquiries in the CCO and Gift Declaration inboxes, handling annual and ad hoc disclosures, managing conflict of interest assessments, assessing impact of employee movement/changes on tracked conflicts of interest, managing information/ documents/ correspondence related to tracked conflicts of interest.
  • Accurately communicate to the business partners, through oral, written & electronic means, their obligations related to the Code and the CCO Office processes and procedures.
  • Analyze changes in the organization or in the Code that may impact CCO processes and procedures. Present those to the Senior Manager – Code of Conduct and make appropriate updates to related process and procedure documentation.
  • Assist business units and corporate functions in documenting key and emerging risks that surface through the CCO processes or through identification of conflicts of interest scenarios that may impact MCAP’s business.

Code of Business Conduct Analytics and Reporting

  • Analyze data, disclosures, gift declarations, and conflict of interest information to create regular reporting for the CCO, the CRO, the Board and Senior Management.
  • Support the Senior Manager – Code of Conduct and the CCO with the preparation of regular reports and documents (i.e., the quarterly Code of Business Conduct report for the HR & Ethics Committee of the Board; proposed changes to MCAP’s Code of Business Conduct document).
  • Research, summarize, and present trends in the market as it relates to the Code of Business Conduct in other organizations, particularly the financial services industry.

Training and Initiatives related to the Code of Business Conduct

  • Accurately communicate to the business partners, through oral, written & electronic means, information/issues from the Chief Compliance Officer that may affect their daily work.
  • Support the creation of training materials and/or CCO Office communications, both English and French, and act in the capacity of subject matter expert when necessary.
  • Seek and recommend changes/enhancements to processes and procedures that will improve the quality and/or efficiency of Code training, management of disclosure and conflict of interest information, Code-related analysis and reporting, and/or CCO Office SLA’s.

What You Bring To The Team

  • Minimum 2 years in a compliance-related role or equivalent.
  • Able to maintain confidentiality and conduct work within appropriate privacy standards.
  • Bilingual (English and French) preferred
  • Excellent oral and written communication skills.
  • Carries out duties with integrity and takes responsibility for actions.
  • Self-driven, motivated with the ability to work independently and in a team environment.
  • Strong customer service and critical thinking skills.
  • Exceptional analytical and problem-solving skills.
