Job Concierge in Calgary

The Position

As the Fish Creek North Concierge, you will have the opportunity to showcase your strong passion and devotion to providing the highest level of customer service in a personalized and refined manner. You will be the first to interact with both our residents and guests, guiding their experience with United Active Living through your friendliness, commitment and efficiency.

Duties and Responsibilities

The primary responsibility of this position is to liaise with residents, family members, staff and community at large with the goal of ensuring a high quality first impression of our Seniors Community. This includes answering telephone calls, directing visitor traffic, and typical administrative duties.

Resident Relations

  • Consistently offer professional, friendly and engaging service to our residents, as well as providing exceptional first impressions and assistance to guests;
  • Develop and maintain personalized resident and guest relationships.
  • Act as a liaison between residents and other departments including the food services, housekeeping and building operations.
  • Address resident and guest concerns, assuring prompt action is taken in a professional manner.
  • Problem solve and find solutions for issues that may arise; work with the applicable departments to resolve; and track the issues to determine trends.
  • Assist residents with personal services (for example, booking taxis, grocery orders, restaurant reservations, recommendations, dry cleaning services, accepting parcels, etc.).
  • Make appointment bookings for service providers operating through United Active Living communities (massage, foot doctor, spa appointments, shuttle service, etc.) and communicate the booking to the appropriate service providers.

  • Assist residents with dining reservations and group or special occasions dining needs.

Operational Support

  • Schedules the Concierge Team for the North and West
  • Answers all incoming telephone calls in a courteous and professional manner. Directs calls and takes messages as required and appropriate
  • Receives and processes all mail for the community as required. Accepts all outgoing mail for the residents. Sells stamps to residents as needed.
  • Posts the next day’s menus and/or activities on communication boards; ensures the communication book is updated with current menu.
  • Tracks when residents are out of the building for extended periods of time and communicates to appropriate departments. Is vigilant for abnormal resident behaviour and intervenes if necessary (i.e. leaving the building).
  • Manages the Guest Suite check-in process, and ensures guests receive keys, overview of room and parking information upon check-in, and ensures housekeeping and food services are notified of guest’s needs.
  • Maintains office equipment in good working order. Refills supplies from stock. Provides re-order list to Bookkeeper in a timely manner when supplies run low so that a minimum amount of supplies are on hand, and equipment can function without interruption.
  • Maintains Bulletin Board to United standards.
  • Keeps the front Concierge area tidy. Ensures newspapers are available and tidy.
  • Ensures walk-in visitors are parking underground or on the side streets, not in front of the building. Arranges for towing if there are cars parked out front or in resident stalls.
  • Supports the Creative Expressions programs as required (handles RSVP’s, helps with set-up of events, ensures theatre is functional before an event or tidied up after an event, etc.)

  • Support the implementation of resident experience and brand standards across all key touchpoints in UAL communities.
  • Utilize resident feedback to support the development of a more engaging resident experience;
  • Support marketing with monitoring and evaluating the success of the customer experience plan;
  • Support the development of a culture that consistently delivers exceptional resident experience
  • Ensure community standards are implemented and maintained in the North building

Qualifications

  • 3-5 years of high-level customer service experience, preferably in the hospitality industry.
  • Some experience in marketing is an asset.
  • Highly developed interpersonal, organizational and problem-solving skills.
  • Strong written and verbal communication skills.
  • Must possess a positive attitude, professional presentation and be willing to work as part of a team.
  • Must have effective time management skills in an environment of many interruptions.
  • Must be patient, tactful, courteous, and diplomatic while relating to residents, family and other staff members.
  • Strong computer skills in Microsoft Window applications is required.
  • Ability to maintain confidentiality and to use discretion when dealing with residents, guests and colleagues.
  • Ability to adjust to continually shifting priorities.
  • Must be able to flex work hours depending on the needs of the community.
