Executive Assistant – Permanent Full-Time

Position Summary:
Reporting to the President and CEO, the Executive Assistant ensures overall coordination and delivery of administrative support to the President and CEO and the Board of Directors. This includes overseeing critical administrative corporate deliverables required by the CEO ensuring the provision of prompt, accurate and coordinated services. The Executive Assistant will be required to regularly interact with the Board of Directors and the Senior Leadership Team and provide ongoing assistance, as required, with governance activities.
This position manages the agenda, prepares meeting minutes and provides overall administrative support. This includes serving as the primary point of contact for the Office of the President for internal and external key stakeholders and inquiries.

Responsibilities Include:

  • Provide direct, confidential and comprehensive administrative support to the President and CEO
  • Principal liaison for the Board Chair and other Board members and ensures that the Board of Directors receive the required timely and accurate corporate support
  • Ensure the effective and efficient administration and operation of the Board of Directors and its various committees to achieve leading edge governance for the organization
  • Ensure compliance with all corporate governance legal and regulatory requirements. This includes maintaining corporate records, files, correspondence, policies, minutes of meetings, Board tenure records, and Corporate By-Laws
  • Organize and coordinate all Board events (e.g. Annual General Meeting) and schedule Board and Committee meetings
  • Attends Board Committees, Executive Advisory Committee, and other committees as required, takes minutes, prepares agendas, and provides information for circulation to Committee members.
  • Present a positive and professional image of the President and CEO office

The successful candidate will possess the following qualifications/experience:

  • Post-Secondary Diploma or equivalent work experience
  • Minimum 3-5 years’ experience in governance and senior leadership administrative support
  • Professional demeanor and decorum, with the ability to effectively interact with key stakeholders including the Board Chair, Board of Directors, and the Senior Leadership Team.
  • Strong organizational skills, ability to multi-task and strong attention to detail.
  • Superior communication skills, both oral and written and ability to handle requests in a professional and tactful manner.
  • Experience with highly sensitive and complex interactions
  • Ability to successfully collaborate with a variety of multiple clients in a professional manner
  • Self motivated and strong critical thinking skills
  • Ability to work independently
  • Advanced computer skills, including Microsoft Word, Excel, and PowerPoint.
