POSITION: Receptionist/Data Entry Clerical Support

SUMMARY: The Receptionist/Data Entry Clerical Support is responsible for providing front desk reception duties, including greeting the community, providing assistance, answering phones, and other receptionist duties as requested. In addition, this position is responsible for file review and tracking as well as other clerical support services.

MAJOR DUTIES AND RESPONSIBILITES:

  • Answer, screen and forward incoming phone calls
  • Signing staff in and out, taking and relaying messages
  • Coordinating scheduling as requested
  • Ensure reception area is tidy and presentable
  • Greeting public and providing basic and accurate information in-person and via phone/email of the agency
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, faxing and sort and distribute daily mail/deliveries
  • Maintain computer database-input information and retrieve reports as needed
  • Coordinate and follow up with staff to collect the information for data entry
  • Maintain and file required logs and/or data reports
  • Assist with verifying required documentation in the files
  • Assist with various tracking systems and reports as needed
  • Maintain inventory and tracking of program materials and ordering of supplies
  • Work in coordination with the program Quality Assurance staff ensure all data is captured and maintained
  • Attend required trainings and meetings
  • Provide clerical support to Manager and other staff as needed
  • Other duties as assigned

EDUCATION/EXPERIENCE REQUIREMENTS:

  • Some Business education, or college preferred,
  • High School Education/GED required.
  • Bilingual in Spanish is a plus

QUALIFICATIONS:

  • Prior experience in reception and data entry positions requested
  • Strong computer skills required (knowledge of excel, access, avatar and other programs)
  • Excellent customer service required
  • Good verbal and written communication skills
  • Ability to work independently, prioritize duties, meet deadlines and work as a team
  • Ability to multi-task
  • Be culturally sensitive and competent in all interactions with both colleagues and families; demonstrating value for diversity and demonstrated ability to maintain confidentiality.
  • Cultural awareness regarding race, ability, sexual orientation, gender identity and other social identities, with an existing ability to communicate and collaborate with people across lines of difference with respect and dignity.
  • Must provide linguistically and culturally sensitive care to promote the reduction of cultural barriers to all the community without bias.
  • Must have a cultural understanding and able to work with a diverse population, including but not limited to language proficiency.
  • California drivers’ license and own vehicle with liability insurance
