SUMMARY:
The Receptionist works with clients to assist them with their needs while utilizing the Company deposition services. Client specific needs’ fulfillment is a varied and critical function to the daily operation of our Company’s operation. This position includes data input to manage the daily diary as it relates to room assignments and requires independent thinking. Staging room allocation is a critical function and demands the exercise of discretion and independent judgement. This position is responsible to advocate for client needs and ensure that each assignment is fulfilled flawlessly to advance our Company’s goal of outstanding client service. While a supervisor will be available, independent thinking and make decision making is required in accordance with the Company’s overall policies and objectives.
Essential Functions:
  • Meet and greet clients actively.
  • Answer Phones
  • Maintain the Company database as it relates to room assignments, court reporter and client assignment integration.
  • Ensure order scopes, required authorizations, and tracking are coherent and accurate.
  • Distribute documents as they are delivered by fax, email, messenger, or other means.
  • May sort and process incoming and outgoing mail and email which must be appropriately directed.
  • Assists in training and/or cross-training employees where necessary.
  • Highly visible function which requires proper dress and appearance.
  • Answer questions from clients, court reporters, main-office personnel, and others. May also assign duties and delegate tasks as required based on workload and incoming e-mails and assignments.
  • Safeguards confidentiality of the medical records and complies with all local, state, and federal laws pertaining to medical records. Assures compliance with all HIPAA regulations concerning use, retrieval, storage, and sharing of medical records
  • Any other duties of similar or lesser nature as required.

  • Familiarity with the deposition process.
<h2 class="jobSectionHeader">EDUCATION / EXPERIENCE
  • High school diploma or equivalent required
  • Minimum 2 years’ experience in legal support service preferred
  • Experience working in a multi-function, multi-geography environment preferred.

Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
