SUMMARY of RESPONSIBILITIES: The Executive Office/Customer Service Admin Assistant must carry out the duties and responsibilities of the position with view to maximizing the efficiency of the Executive Office. The candidate must have working knowledge of computers, general office administration and general sales knowledge. The Employee must also coordinate and administrate the general office activities for the Executive/Customer Service Office in accordance with company policies and objectives.

SPECIFIC DUTIES:

Specific Duties include the following:

· Greets visitors, ascertain nature of business and direct visitors to appropriate person.

· Answer and distribute incoming call. Make business calls as requested by the Managing Director.

· Handles communications and miscellaneous administrative responsibilities as requested by the Managing Director, Executive Office (i.e. in house distribution, faxes, letters, typing, mailing etc.) and provide clerical assistance to Operations, Equipment, Maintenance and Sanitation Departments.

· Read and route incoming mail, faxes and internal documents. Makes copies of correspondence and distribute to appropriate managers and departments.

· Prepare outgoing mail, faxes and express shipment for the Executive Office.

· Maintain appointment calendar for Managing Director as requested. Advise of all appointments scheduled for the day and set up appointments for the future. Arrange travel and schedule reservations for Managing Director. Confirm airline reservations for Executive Office and Administration as needed.

· Assist with daily Cake Sales by working with customers requesting to place cake orders distribution of cake orders to the kitchen and coordination with Customer Service for the design of cakes.

· Records minutes of meetings as requested by Managers.

· Assist with the ordering and distribution of office supplies for the Harmon and Warehouse Units.

· Carry out other related tasks as directed.

· Loyalty and confidentiality are the utmost importance and a supposition for this position.

· Disclosure of proprietary corporate business documents and proprietary information is prohibited. Proprietary information is information or material relating to LSG Lufthansa purchasing, accounting, personnel, and sales. Examples include, but are not limited to: pricing information, employee information, profits and profits and computer software and programming.

SKILLS:

· Must be proficient in the use of the English language (written and oral).

· Must have good communications skills.

· Must possess professional telephone etiquette.

· Must be dependable and flexible.

· Must be proficient with the use of computers and type with reasonable speed and accuracy.

· Ability to perform more than one task at a time.

· Must have good organizational skills.

· Must be able to work under pressure.

· Must have knowledge of prevailing business procedures and the ability to operate various office machines (fax, telex, copier, etc.).

While working at a different job site, the employee may occasionally work near moving mechanical parts, be exposed to fumes or airborne particles, extreme cold and extreme heat. The noise level at the alternative job site may occasionally be moderate to high.
