Job Description:

The role of the Operations Administrator is vital in keeping the department running smoothly. The person in this position is responsible for ensuring that all activities and responsibilities of the Operations Department are handled in a prompt, courteous, and efficient manner.

Job Responsibilities:

  • Phone reception, front desk greeting duties & radio communication
  • Attend management meetings, take and distribute minutes
  • Manage vehicle accident reports, driver’s list and supporting documentation, fuel cards, snowmobile & quad exams, helmet and ski/snowboard compliance, locker rooms, third party contractor agreements, winter staff vouchers, building permits, purchase orders, payment requests, vehicle passes, and assist with other operations administrative tasks as required
  • Prepare weekly reports, project and data tracking tools, phone and radio lists
  • Administration including development and distribution checklists, charts, templates and correspondence
  • Efficiently organize the Operations’ Department paper and digital documents & records
  • Maintenance of office area, scheduling of a cleaner for the operations Office area and re-stocking office cleaning supplies
  • Occasionally coordinate tasks for light duty employees
  • Maintain good inter-departmental relations and communication
  • Occasionally provide transportation for guests; Skoki Runs, Injured Guests, or Upper Mountain Evacuations (Valid Class 4 License is an asset)
  • Write/Update Policies and Procedures as necessary
  • Manage reports, users, missing alert notifications, train, teach, and troubleshoot our Risk Management Program - Edge Auditor
  • Provide Back-up support to other departments throughout winter busy periods
  • Data Entry and administration of the Computerized Maintenance Management Software (CMMS)
  • Assist Project Managers with the preparation of project documentation including, Parks Canada submissions, project cost tracking, contractor required documentation
  • Summer Dispatch: daily radio communication for lift opening and closing, extreme weather, wildlife monitoring and all other urgent/emergency situations
    • Daily reporting in Edge Auditor, keeping track of wildlife in spreadsheets
    • Ability to prioritize duties, keen attention to detail, and teamwork with managers is vital
    • Accident legal paperwork and patient transport
    • Back up support for Dispatch in winter

Requirements:

  • Must be computer literate and have intermediate to strong Microsoft Suite experience (Outlook, Excel, Word) to create advanced spreadsheets and correspondence
  • A positive attitude, friendly personality, excellent written and verbal communication skills
  • Must have excellent organizational skills and an ability to meet timelines and changing priorities
  • Able to speak clearly over the radio; radio communication experience is preferred
  • Able to work both as a team member and independently; self-motivated and efficient
  • Able to prioritize and work well under pressure with little to no supervision
  • Valid Class 5 AB driver’s license (or provincial/international equivalent) with clean driving record (abstract/3 year claims experience letter must be provided during the interview process)
  • Class 4 License preferred
  • Accounting experience preferred
  • Follow all LLSA policies and procedures
  • Adhere to LLSA grooming policy at all times
  • Knowledge of the Lake Louise Ski Area is an asset
