Position Summary and Objectives


The Construction Services Project Coordinator is responsible for full construction administrative duties as well as small tenant construction and/or repair requests as needed for the Manager. Construction Services and Property Manager to ensure smooth and efficient operation in accordance with tenant and owner's expectations. This position will require an overall understanding of the supervisor, tenant, and owner's affairs.


Responsibilities


Administration

  • Create purchase orders in Yardi for all department related quotations. Review payable log and close all completed purchase orders.
  • Submit invoices to Yardi for completed work as directed by Manager, Construction.
  • Perform monthly construction accruals for review by Manager, Construction.
  • Manage cost summaries for all projects and ensure a running total is available at any given lime.
  • Overseeing vendors in the operating system. Includes creating new vendors and updating existing.
  • Create quotations and invoices for tenant related work including all fees.
  • Create Letters of Intent and CCDC-2 Contracts for the Construction Managers. Includes ensuring that the Owner identified in the document is correct and that the correspondence is standardized; making the appropriate number of copies; and sending them out for signature by the contractor.

Construction

  • Focus on tenant related construction requests. Interact with tenants to get a full scope of work required.
  • Engage consultants/contractors as required to obtain quotes on the client's behalf.
  • Put together full tender package including front-end documents and arranging site meetings for competitive pricing.
  • Schedule, make appropriate arrangements with tenants, and oversee any construction work
  • Setup meetings with tenants as required to provide updates on status of work.

General

  • Embody and support Crown's Health & Safety policy
  • Work with other department heads to update all on any operational impacts of work taking place throughout the Complex
  • Liaise with tenants annually about any upcoming projects for budgeting purposes.
  • Managing any special projects on behalf of the Construction department at the Property Managers discretion.
  • Other duties as assigned.

Perform other related responsibilities as requested from time to time


Qualifications

Education
  • Post-secondary education with an emphasis on project management
  • Accounting or Finance degree an asset

Professional Experience

  • 1-3 years of experience supporting the construction department/division in the delivery of development projects or related work experience
  • Intermediate to advanced knowledge of Microsoft Office Suite
  • Accounting or finance experience an asset
  • Familiarity with construction software including Procore and/or Yardi Construction Manager
  • Knowledge of the building development/redevelopment industry, construction methods, architectural drawings, furniture and space planning concepts, building codes, technical requirements for business relocation etc.
  • Knowledge of budget preparation and tracking
