A critical member of the support team, the Receptionist is responsible for front desk and front office support operations within the Toronto Market. The Receptionist will work with the Assistant Facilities Manager, Director of Human Resources, and support staff within the market to provide support as needed.Job Description
Key Responsibilities:
Vendor Management / Administration
- Manage purchasing and maintenance of office supplies and office equipment (i.e., furniture, IT equipment, telephones, snack services, plants, etc.) by ordering through Workday, procurement, or outside vendor
- Monitor and order branded supplies and business cards
- Enter new local vendors into Workday and update data as needed
- Process all invoices for office or region in absence of Office Manager
- Act as liaison for property/building management and coordinate maintenance needs (i.e., light bulbs, heating/cooling, carpet cleaning, etc.)
- Manage list of key vendor contacts, building management, security, engineering, etc.
- Manage inbound and outbound couriers
- Coordinate property signage
- Maintain cleanliness of boardrooms and kitchens
- Manage incoming and outgoing mail
- Event support and coordination (ie: booking outside conference rooms, arranging catering, meeting set up)
- Initiate and monitor RPA (Robotic Process Automation) bots
Greet / Direct All Visitors
- Manage front desk by providing building access (when required) and notifying the employees that client, vendor or job candidate has arrived
- Communicate with operations staff, brokers, and Managing Principal regarding their availability
Manage Phones
- Answer and screen all incoming calls and relay messages
- Communicate general company information
- Communicate with operations staff, fee-earners, and Managing Principal
- Handle calls with discretion per the request of the operations staff, fee-earners, and Managing Principal
Background and Experience:
- High school diploma (or equivalent)
- 1-3+ years of experience
- Experience with Workday a plus
- Experience monitoring RPA bots a plus
Competencies:
- Strong written and oral communication skills
- Ability to effectively multi-task
- Strong computer skills
- Ability to learn to use software with minimal direction
- Ability to plan, organize and manage processes
- Ability to follow instructions and procedures
