Job Sales Coordinator in Whistler

The Sales Coordinator will work with the Director of Sales & Marketing to provide active support to the Sales Division with varied office tasks in order to help meet and exceed budgeted revenue goals. This position will enable the managers to proactively develop new business and maintain valuable client relationships through administrative support, account research, client correspondence and will assist with daily, weekly and monthly reporting, tradeshow preparation, site inspection, FAM preparation and other duties as assigned.

Position Requirements

  • Assist sales and events in coordinating daily incoming and outgoing information to clients including proposals, contracts, mail, phone calls or messages
  • Daily maintenance of tour and group blocks including adjustments for space requests and releases
  • Responds to requests for bids, creates and submits written bids
  • Ensure wholesale reservations are inputted correctly and assist with billing
  • Run reports as necessary
  • Provide support in the sales office and coordination of sales call schedules
  • Assist with customer contact on a regular basis (thank you letters, sites, purchase incentives, promotional gifts, lunch-and-learns, etc.)
  • In-depth knowledge of hotel product and service offerings
  • Research and resolve customer inquiries
  • Present professional image through effective written and verbal communication skills
  • Assist in market research, identify and communicate trends major shifts and business focus of the major market segments
  • Maintain accurate profiles, databases and hard copy, of all accounts, with current and potential production levels, based on input and direction from the Sales Manager, Meeting & Event Manager or Director of Sales & Marketing
  • Analyze, research and initiate recommendations and problem-solving tactics with internal and external customers
  • Research and qualify existing and prospective accounts, for sales follow up as needed
  • In the absence of Sales Manager, serve as the resource or contact for external and internal clients and provide effective problem-solving and solutions-based selling for on-going customer satisfaction and revenue growth
  • Assist in the organization, coordination and execution of specific functions and promotions handled by the sales and events team (e.g., familiarization tours, client events, sales calls, etc.)
  • Assist in the preparation and dissemination all monthly, quarterly, and annual reports and attend all sales meetings
  • Present professional image through effective written and verbal communication skills
  • Conduct site inspections, participate in familiarization tours and/or tourism events as required
  • Responsible for office administrative duties including processing purchase orders, ordering supplies, report generation as needed, participate in phone coverage
  • Maintain database of customers using CI/TY as directed by sales and event managers
  • Be an integral part of the sales, events and marketing process. Be knowledgeable of all programs and work with sales team
  • All other duties as assigned

  • Proficiency in Microsoft Word, Excel, and PowerPoint required
  • Minimum typing 50 words per minute
  • Self motivated, high initiative, self-starter, reliable and strives to continually overachieve goals and targets
  • Sets a positive example and fulfills responsibilities with the highest integrity, ethics and professionalism
  • Formal University/college education is an asset with preference given to those with a hotel management degree
